The Archdiocese of St Andrews & Edinburgh is seeking to appoint an Administrator for a period of one year for maternity cover to provide administrative support to the Chancery and Catechetics departments within the Archdiocesan offices.
The role involves working in a busy team of administrators, reporting to the Office Manager, primarily supporting The Chancellor with official documents relating to Church governance and the Director of Catechetics with an online Diploma programme.
The role holder should have administrative experience and strong communication skills, good attention to detail, efficient IT skills and an ability to prioritise and organise their work, while supporting other team members as required.

Purpose and Scope
To support the function of the Curia by providing administrative assistance, particularly to the Chancery and Catechetics Departments. The role is for one year to cover maternity leave.

Key Accountabilities – Chancery
- To collate data for the Archdiocesan and National Directories and ensure it is accurate before submitting to the Editor within strict deadlines.
- To collate all annual Mass Census returns and other statistical information.
- To collate and prepare the data for the annual Rome returns.
- Maintain the Clergy database and keep it up to date.
- Prepare Celebrets and Testimonial Letters for Incardinated Clergy ready for signature.
- Issue Faculties and Handbook to new Clergy and those on long-term placements.
- Manage approvals for visiting Clergy’s Testimonial Letters and Celebrets; liaise with Safeguarding Department.
- Chancery correspondence and filing.
- Maintain up to date files and resources and arrange archiving compliant with GDPR.
Key Accountabilities – Catechetics
To lead the administration for an online annual Diploma programme, including:
- To oversee student registrations through Eventbrite.
- To be the first point of contact for Diploma students for all administrative matters.
- Scheduling of Diploma 1-2-1 appointments using Microsoft Booking programme.
- Correspondence with Diploma students to facilitate appointments, registration and provision of materials.
- Correspondence with Diploma presenters and course guides.
- Assistance with Microsoft Teams meetings: resending links etc.
- Assistance with events and workshops including Diploma retreat day, graduation and Live Diploma evening.
- Administrative support to course leads.
Other Duties
- Phone and door answering and mail distribution.
- Hospitality – preparation and clearing up of refreshments for meetings and events and support with administration.
- Any other administrative or support tasks as required by the Office Manager.
Experience and Skills:
- Administration qualification (preferable) and administrative experience.
- Strong IT skills, including Microsoft 365 (Word, PowerPoint, Teams, Booking and Forms) and social media.
- Ability to use databases and analyse the information.
- Efficient and detailed focused.
- Maintain strict confidentiality and comply with GDPR.
- Ability to prioritise work, work flexibly under pressure and on own initiative.
- Strong team player able to assist in other areas of the Team’s work.
- Strong written and verbal communication skills.
- An empathy for the work of the Catholic Church.
